Ecclesiastical Insurance Releases New Risk Management Bulletin to Help Organizations Safely Rent Their Spaces

TORONTO, ON, MAY 28, 2026/insPRESS/ – Ecclesiastical Insurance has released a new risk management bulletin, Renting Your Space: A Practical Risk Management Guide, to help faith-based organizations, schools, and non-profits better understand and manage the risks associated with renting their facilities to outside groups.

From church halls hosting recovery meetings and community gatherings to school gymnasiums used by sports leagues and dance studios, third-party rentals have become an important source of revenue and community engagement for many organizations. However, these arrangements can also create significant liability and operational exposures if not properly managed.

“Many of the organizations we serve are already opening their doors to community groups, often without a formal process in place to protect themselves,” said Colin Robertson, Chief Experience Officer at Ecclesiastical Insurance. “This bulletin gives them a straightforward starting point, from assessing the event to ensuring the right insurance protections are in place, so they can continue supporting their communities with confidence.”

The bulletin provides practical guidance for property owners, administrators, and facility managers at every stage of the rental process, including evaluating the suitability of events, developing rental agreements, and confirming appropriate insurance coverage.

Bulletin Highlights Include:

  • Evaluating event type, expected attendance, and participant demographics before approving a rental
  • Key rental agreement considerations, including alcohol policies, food service rules, occupancy limits, and incident reporting procedures
  • Insurance requirements such as Certificates of Insurance, Additional Insured status, and recommended liability limits of $2-5 million or higher
  • Clarifying owner and occupier responsibilities that remain in place regardless of renter coverage
  • Risk management protocols for after-hours rentals
  • A practical pre-event checklist for administrators and facilities managers
